Magnus Poirier’s policy for the protection of personal information
In order to respect the grief of bereaved families, Magnus Poirier offers customized and adapted services that meet the needs of each person. Furthermore, our company is committed excellence in the services provided to every client, each day, and at every moment. Such quality service includes protecting the privacy of all our clients (even our future clients). We have the professional and legal obligation to respect the confidentiality of all information that is provided to us, which is why we implemented this policy regarding the privacy of personal information.
The term “Personal information” refers to information that allows a person to identify an individual.
The purpose of our protection of personal information policy is to respect the 10 principles on the right to privacy as stated by the Canadian Standards Association (CSA) regarding the protection of personal information.
(1) Responsibility – The Chief Privacy Officer is responsible for the company’s compliance to this policy. Therefore, although several persons at Magnus Poirier are required to collect and process your personal information on a daily basis, the Chief Privacy Officer ensures that the policy is applied and respected through all other policies and procedures of the company, as well as employee training.
(2) Purpose of personal information collection – We collect and use personal information, received through Internet or other means, on our clients for recordkeeping purposes, and in order to identify them, communicate with them, protect our company and our clients against mistakes and fraud, determine the wishes of our clients and provide them with information on our products and services, as well as ensure that our clients or other users of our Web site will not have to provide their personal information again the next time that they access our Web site or make a purchase. Personal information is also used for the purposes of registering a death with the municipality and the Registrar General of Deaths, the publication of obituaries in newspapers, on the radio and on our Web site, entry in clergy and cemetery records, as well as for the purposes of our phone information service.
Except where the law allows or requires it, we do not communicate to anyone the personal information on our clients and we do not authorize anyone to use our clients’ personal information for any reason without having received the prior consent of our client. Furthermore, we do not use personal information for any other purpose without having received the prior consent of our client.
(3) Consent – Prior to collecting, using or communicating an individual’s personal information, we ensure that we have received his consent in the appropriate format.
(4) Limit of personal information collection – We only collect information that is essential for the above-mentioned purposes, or according to our legal obligations. We make sure to receive the client’s consent prior to the collection of his personal information if the use or communication of said information is for purposes other than those for which we already have the client’s consent.
(5) Limits of use, communication and retention
Use: Magnus Poirier only uses personal information for the purposes mentioned at the time of their collection or for purposes to which an individual can reasonably expect.
Communication: We generally do not communicate personal information without having received the prior consent of the individual, with the exception of special circumstances prescribed by law, or if the third party to whom we are communicating said personal information is acting as an authorized agent of Magnus Poirier. We do not sell the personal information in our possession.
Retention: Personal information is retained until the purposes stated have been completed, or in accordance with applicable laws and Magnus Poirier policies. Personal information received through Internet or other means is also retained to ensure that you will not have to provide them again the next time you access the Web site or make a purchase.
(6) Accuracy – We compile all personal information in our possession in the most accurate, complete and up-to-date manner possible for the purposes stated. We also expect individuals to provide us with complete and up-to-date information.
(7) Security measures – We protect all personal information in our possession in order to prevent, to the extent possible, any unauthorized access or modification by applying security measures appropriate to the level of sensitivity of said personal information. However, it is your responsibility to ensure the security of any passwords and related access codes allowing you to access our online resources.
Our security measures include in particular:
- employees training;
- a records’ storage policy;
- SSL technology;
- Web site hosting on secured servers;
- Thawte technology (same as Verisign) to ensure the security of the Web site;
- encryption of personal information; and
- firewall.
(8) Openness – We will ensure that our policy on the protection of personal information is easily accessible at all our funeral complexes and in our Web site. We retain personal information in our various funeral complexes in Laval and Montréal (Quebec). (9) Access to personal information – We strongly believe that each individual has the right to know the kind of personal information that we collect and to have us correct and update their personal information. Please contact the Chief Privacy Officer to request access or any correction.
